Map the whole delivery journey
List the steps from departure to receipt at the destination, including transport, site arrival, unloading, storage, installation and handover. If several teams are involved, keep their handoffs on one checklist. Arrival at port, arrival on site and completed installation are different milestones.
Check the site and working conditions
Discuss vehicle access, the unloading position, temporary storage, site preparation and equipment needs. The responsible parties should confirm transport and lifting arrangements against the actual goods and site. Leave missing information open for checking instead of filling it with estimates.
Name the party for each task
Clarify who organises transport, receives the goods, prepares the site and installs them. Identify a contact for damage, missing items or delays. Responsibility for costs, included services and separate arrangements should match the quotation and agreed scope.
Agree how handover will work
Before delivery, confirm the checklist, documents, inspection method and records to retain. If an issue appears, record what happened, who will handle it and the next action. Explain use, upkeep and service contacts too, so communication can continue clearly after handover.
