Preparing a project brief for a quotation discussion

A complete technical design is not the starting requirement. Clear information about purpose, site and scope makes the conversation more useful.

Describe the problem to solve
Explain where the space will be used, who it will serve, expected occupancy and the main activities. Living, hospitality, display and work bring different needs. Separate fixed requirements from ideas you can still adjust so both sides know what to focus on.

Share site information
Gather any photographs, sketches, measurements, access routes and information about water and power. Note the date and known source of each item. Mark uncertain dimensions for checking. If drawings are incomplete, start with the site conditions and specific questions you already have.

List the scope you want discussed
Separate the building, interior fittings, transport, unloading, installation and ongoing service. Say what you will arrange and what you would like to explore together, including your target use date. A budget range is useful context, rather than an agreed price.

Keep a clear record
When reviewing a proposal or quotation, check the model, fittings, quantities, included costs, conditions and validity period. Keep revisions in one list, identify the current version and record who needs to provide which information next. This reduces repeated explanations.
